Position Overview
We are seeking a part-time Admin Assistant to support and work directly with the business owner.
This role helps maintain organization, documentation, communication systems, and project coordination. The primary workspace is split between the owner's home office and accompanying the owner to job sites, riding along in the company truck, and assisting with documentation and coordination in the field.
This role is ideal for someone who enjoys bringing order to systems, maintaining accurate records, and helping projects move from idea to completion.
Responsibilities will evolve over time as systems improve and projects are completed.
Primary Responsibilities
As an Admin Assistant, your primary focus will be maintaining accurate and consistent Office Operations systems.
You will:
Organize and maintain company records and documentation
Assist with bookkeeping support tasks such as organizing transactions and receipts
Maintain accurate customer records and work orders
Monitor business email accounts and assist with routine responses
Track follow-ups to ensure nothing falls through the cracks
Prepare documents and summaries for owner review
This role requires steady attention to detail and consistent follow-through.
Sales & Estimating Support
You may:
Take structured notes during estimating meetings
Help draft rough estimates using a provided template
Organize itemized scopes and description sections
Prepare drafts for review prior to sending
Final pricing and scope decisions remain the responsibility of the owner.
Hiring & Administrative Support
You may assist with:
Posting job openings
Reviewing and organizing applications
Scheduling interviews
Assisting with onboarding documentation
Maintaining training materials and internal systems
Field & On-Site Support
While this is not a primary labor role, occasional field support may include:
Taking photos and short videos for documentation and social media
Updating work notes during site visits
Taking notes during client meetings
Assisting with inventory tracking and organization
Applicants should be comfortable occasionally working outdoors and in a mobile environment.
Schedule & Work Availability
Part-time position
Typically 10 to 15 hours per week to start
Primary work location is the owner's home office, or riding along in a company work truck to job sites and shop facilities
Consistent weekly availability required
Hours may fluctuate seasonally
This position is best suited for someone who can commit to steady, reliable weekly availability.
Compensation
Starting wage: Competitive and based on experience
Qualifications
Applicants must:
Be authorized to work in the United States
Pass a background check
Be comfortable using a computer and smartphone
Communicate clearly in English
Demonstrate strong organizational habits
We are specifically looking for someone who:
Takes ownership of tasks from start to finish
Follows through consistently without needing repeated reminders
Is comfortable working within structured systems and templates
Asks clarifying questions when unsure
Is adaptable to changing priorities
Preferred but not required:
Administrative or bookkeeping experience
Familiarity with scheduling or CRM systems
Interest in small business operations
